This policy explains what information Synergy Technologies Inc collects when you communicate with us on WhatsApp, how we use it, and how you can have it removed. It covers our internal messaging system, SynergyTranscribe, which records and transcribes the WhatsApp messages and calls we exchange with you.

We only collect information from conversations you initiate or take part in with our WhatsApp business number. We do not buy contact lists, and we do not collect anything about you from other sources.
| Data | Why we hold it |
|---|---|
| Your WhatsApp phone number and profile name | To identify who a conversation is with and reply to you |
| Message content you send us — text, images, documents, voice notes | To read, answer and keep a record of your enquiry |
| Audio of voice notes and calls with our business number | To transcribe them so they can be read and searched |
| Text transcripts generated from that audio | To search past conversations and follow up accurately |
| Message timestamps and delivery status | To order conversations and confirm messages arrived |
Calls placed to our WhatsApp business number are answered by an automated system that records and transcribes them. You are told this at the start of the call. If you do not wish to be recorded, please end the call and contact us by message or email instead.
We do not use your messages for advertising, sell or rent your data, or share it with third parties for their own marketing.
Messages and calls reach us through Meta's WhatsApp Business Platform, which is subject to WhatsApp's own privacy policy. From there they are stored on servers we operate and control. Transcription is performed by software running on our own servers — audio is not sent to any third-party transcription service.
We use no analytics, advertising or tracking services in this system.
You may ask us to give you a copy of the information we hold about you, to correct it, or to delete it. Email shane@synergytech.cloud from the address you deal with us on, or message our WhatsApp number, and we will respond within 30 days. See our data deletion instructions for the fastest route.
Access is restricted to authorised staff, who must sign in through our single sign-on system. Data is encrypted in transit. Servers are access-controlled and backed up.
This service is for business communication and is not directed at anyone under 16. We do not knowingly collect their information.
Separately from WhatsApp, we operate an SMS notification programme for customers of our business software. It is described in full, including how to join and leave it, on our SMS programme page.
For that programme we hold your mobile number, whether you have consented or opted out, and the messages exchanged with you. We use it only to send the operational notices you asked for and to honour opt-outs.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. Mobile network operators process messages solely in order to deliver them.
Our messaging system refuses to send personal, financial or health information over SMS at all: identifiers such as government ID numbers, payment card numbers, dates of birth, medical record numbers and clinical detail are blocked in software before any message is sent. Where a notice concerns something sensitive, the text says only that an update is waiting and asks you to sign in.
You can ask us to delete your mobile number and its message history at any time by replying STOP or emailing shane@synergytech.cloud.
If we change this policy we will update the date above. Material changes will be notified to anyone with an active conversation.
